The Hardware Question Has Mostly Disappeared
A few years ago, choosing a meeting platform meant choosing incompatible hardware to go with it. That's no longer true for most video bars on the market: the same device runs Microsoft Teams Rooms out of the box, or runs Zoom Rooms out of the box, and on many models you choose which one at setup rather than buying a different unit for each. That changes the real question from "which hardware works with our platform" to "which platform, and does our room design still hold either way."
What Actually Stays the Same
Room sizing doesn't change based on platform. A huddle room is still a huddle room, a boardroom still needs distributed microphone coverage, and the camera field-of-view math is identical regardless of which app the room joins from. Appliance-mode deployment is also common ground. Both platforms can run directly on the video bar itself, which means no Windows or macOS room PC, no separate operating system to patch, and no image to rebuild when something goes wrong. The room boots straight into the meeting platform.
Where Microsoft Teams Rooms Differs
Our Microsoft Teams Rooms guide covers the details, but the shape of a Teams Rooms deployment usually comes down to two build patterns: a bar that hosts Teams Rooms on Android itself, or a separate compute appliance driving a USB camera you already own or need for a specific mounting position. The first pattern wins on device count and install speed; the second wins when the room's layout, an existing camera, or a dual-display requirement makes more sense with the camera and the compute kept separate.
Teams Rooms estates also lean on the Teams admin centre for device health and updates, alongside whatever management layer the hardware vendor provides. For an IT team already standardised on Microsoft 365, that's one more system reporting into tools they're already using.
Where Zoom Rooms Differs
Our Zoom Rooms guide goes deeper, but the practical difference is what a Zoom Rooms appliance-mode deployment removes from the bill of materials: the mini PC, its operating system licence, and the mount and power run it needed behind the display. What's left is the bar, the display, a controller and a network drop — plus device management through Zoom's own device tools rather than a Microsoft admin surface.
Neither platform requires a fundamentally different room design once appliance mode is on the table. The gap that matters is which admin ecosystem your IT team already lives in day to day, not which cables run behind the display.
Making the Call for Your Organisation
If your organisation already runs on Microsoft 365 and Exchange calendars, Teams Rooms folds into tooling your IT team uses anyway. If your calendar and identity stack sit elsewhere, or your teams already default to Zoom, Zoom Rooms is the fit. Some organisations standardise on hardware that can run either, and choose the default per room rather than company-wide — useful when different floors or business units have settled on different platforms independently.
What doesn't change is the room engineering underneath: table length still decides the camera, and a shared room still needs a touch controller so people aren't guessing whether a meeting is starting.
